Now I must first offer the caveat that I haven't yet tested the new functionality but I think you'll agree with me that it is mouth watering.

The first concept introduced was "Universal Voice". Prior to 7.5, you could use "integrated voice" with Connect provided you maintained a separate account with an approved provider such as Premiere Conferencing. With integrated voice, the moderator can maintain software control over the teleconference aspect of the webinar. If you didn't subscribe to one of the approved vendors, not only could you not exercise software control, you could also not record the audio portion of your webinar. (The recording work-around involved hardware that bridges your phone to your PC sound card.)

With universal voice, you can now "train" Connect to dial into any toll free provider of your choice and the audio of your webinar will be recorded in sync with the visuals. You still will not get software control of the audio but I don't find that too big a hit. What's more, you can have Connect dial into your teleconference, and then broadcast what Connect "hears" over IP. As a result, you can instruct your audience to use their PC speakers for the audio portion of your webinar, while you provide a reliable phone based audio feed. I have always found phone fed audio more reliable than VOIP so you get a quality boost here and you get cost savings by not having everyone dialing up your teleconference provider. Overall, a great enhancement. And for those who prefer the integrated audio provided for the select set of vendors, that's still there. In fact, they've added InterCall to the list for integrated voice.

Another big announcement with 7.5 is the introduction of the Webcast function. This function utilizes a slightly limited variation on the typical Connect user interface but extends Connect's capacity to 80,000 users. It is a separate offering with its own pricing structure. I personally found the pricing quoted on the webinar a bit daunting, starting at $5,000.00 for a 600 attendee webcast, with the price increasing in 100 attendee increments to a limit of 80,000 attendees. The $5,000.00 includes the services of event specialists who guide you through the hurdles of an event in much the same way I do (gotta get a plug in there somehow!). When I say the user interface is limited, one example is that you cannot dynamically change the screen layout during a webcast the way you can with a typical Connect webinar. Whether or not the Webcast offering is right for the small business owner remains to be seen.

With 7.5 we also see a security enhancement. In earlier releases, you could centrally restrict access to desktop sharing on an enterprise wide basis. Now, the security is more granular in that you can white-list certain applications eligible for desktop sharing such that everyone across the enterprise can share those applications (such as Visio for example) but not share any others. A nice enhancement for security minded IT shops.

PDF's get the PPT treatment for the first time in 7.5. In other words, when you share a PDF document in a share pod, it now gets translated into Flash, making the visual fidelity near perfect and allowing full PDF control (page advance, magnification, etc.) by either the host in synchronized mode or by the individual attendee. When the host gives attendees control of the displayed PDF, they also get the option to download it to local storage. Pretty cool stuff. The demo that was done demonstrated how magnification of the document did not result in the pixilation that was prevalent in the prior release when the PDF was translated to an image file.

There were other enhancements and bug fixes discussed but I'll leave you with one more goody. They're planning an iPhone client for webinar participants. This depends on the release of an iPhone friendly version of Flash which should be ready by year-end.

I think there were some who might have been afraid that when Adobe took over the Macromedia Breeze product that it would collect dust. On the contrary, Adobe shows a full commitment to this product, reincarnated as Connect, and I think it's paying off.]]>

Wayne concentrates purely on public marketing / lead generation webinars. His approach is highly pragmatic, laying out specific tasks that need to be accomplished on a timeline, starting from six weeks before your scheduled webinar.

One of the most useful features in the book is his inclusion of checklists and templates that are ready for a webinar producer to copy, revise, and use. For instance, Wayne not only gives you tips on what types of things you should include in your invitation and follow-up emails, he actually writes out sample text, with fill-in-the-blank spots for your information.

This is a great way for business webinar producers to get organized and to make sure they don't overlook any of the myriad small details that can cause panic if forgotten during the planning and production process.

As far as the recommendations in the book, I can't think of any more flattering thing to say than it sounds like one of my own lectures on the topic! :)

As I read the book, I made a few mental notes about how I might flip the order of a few tasks, or in certain cases I would leave something out as unimportant, or I might change the timing on one item or another. Then at the end, I read Wayne's final note about his advice:

"This system is designed to be a living document, not written in stone. Our goal was to give you the basic skills and knowledge to put on a webinar event. To use a musical analogy, we’ve taught you the scales - it’s up to you to play jazz. Change it, ignore it, use your own best practices and continually get better at what you do."

So now what do I complain about?

All joking aside, this is a terrific resource for people just getting started with webinars, those seeking to add more organization and planning to their programs, or even experienced webinar producers who want to check their approach against industry best practices.

Here is a link to a hilarious thread on the FARK social commentary site. Some of it is mildly distasteful for work, but no explicit swearing and no nasty graphics. Host Jason McDonald presented findings from what he called a "virtual focus group" of 73 screened and qualified engineering respondents.

For me, the most significant findings were those related to what type of presentation vehicle the respondents preferred. Jason said that live webinars scored low on preference compared to other options. Archived (recorded) webinars scored highly. But then the same question was asked as a hypothetical, "if time and money were of no importance."  This time, live webinars scored highly!

My take on this is that audiences have come to anticipate and expect bad webinar practices. There's going to be some good information in there, but you're going to have to listen through uninteresting and time-wasting fluff such as introductory comments, marketing information, backgrounder material you already know, and so on.

I am not here to do a hatchet job on eg3.com or Jason. I appreciate their work in assembling and sharing the information. But I noticed several practical examples we can learn from just in this one presentation. This may end up sounding negative, but it's symptomatic of 99% of all business webinars that get presented and probably applies to your webinars as well. I'm just using specifics from this webinar as illustration. (Sorry, Jason!)

First of all, nobody started talking until five minutes after the scheduled start time. That's five minutes of my day I could have saved by watching the recording. Then we heard a standard script from a moderator, including the recommendation to call in on the telephone instead of using the computer audio that comes up as the default way to listen when logging in. The script also included the baffling line: "By now you have probably downloaded and installed the conferencing software..."  If I'm watching and listening, that's probably true! And how does it help me one way or the other? Try to cut down on your introductory scripts.

Then Jason started his presentation with a backgrounder pitching eg3.com. He also shared his personal background in a format that looked almost like a resume. Unless it's a key part of the information you promised, your audience most likely doesn't care about your educational background... Take the benefit of your perceived authority and gain their trust by presenting the information they want and need!

Then we moved on to some background information about webinars and virtual events in general. That was followed by information about what vendors generally consider their own priorities in promoting and benefiting from webinars. Then we heard about the survey methodology and profile of the respondents. Finally, at slide 19  - and 23 minutes after the scheduled start - we heard the first statistic about how people responded to a question about webinars.

If I represent a "typical" listener who knows what webinars are and has read through the event description, the information that was advertised and interested me enough to sign up has come after 23 minutes of less important, less interesting presentation. That makes a strong case for watching the recording and forwarding, forwarding, forwarding!

A secondary issue with all this preliminary material is that it was written out verbatim on the slides. Each bullet point was animated with a fly-in effect. And Jason basically recited the information we could see on the screen. Since I can read faster than he can talk, it makes another strong case for watching the recording and speed reading through the slides.

What if eg3.com had launched straight into the survey results they had promoted and pitched as a benefit for the listener? They could have written out all the background material on those first 19 slides and made it available as a handout, nicely formatted and branded with eg3.com identifiers. They could have told attendees they would receive the materials in an email, giving them an expected and desired additional communication opportunity. They could have made the online session shorter or made more time for Q&A. Once you start making your presentations in that style, people begin to trust you and feel that it's worth their time to show up for the live event.

The next time you create a business presentation, add one last step after you finish your slides... Go back and read the marketing promotion that went out. Highlight the key promises made and the reasons given why people should attend. Now go back and look through your slides. How long is it before you deliver on one of those key promises? If it's more than 5 minutes, you need to do some editing and reordering.

You can make live webinars something worth looking forward to. One of the key ways to do it is to give your audience what they want. Do it fast. Once you have them hooked, you can take the time to add the rest of the things you wanted to say.

Gone are the days of blanketing a list of 6000 attendees with a direct mail postcard inviting all of them to your booth number. The new DimDim "French Maid TV" promotional videos that show busty women in their underwear straddling on big balls punctuated with how-to instruction of DimDim's new webinar service will undoubtedly be rationalized along the lines that other advertisers like GoDaddy do risque Super Bowl commercials and all is OK and "safe for work" to watch. One scene in the DimDim promo even pays homage to "The Man Show' with its "Girls on Trampolines" segment wherein the French Maids are bouncing on exercise balls while their barely covered, ample breasts bounce in slow motion. We're not sure webinars - which are frequently purchased, marketed, attended, and hosted by women - are the right product to be promoted by busty B-grade models in their underwear acting like flirty french maids and having pillow fights. We're all supposed to be in on the joke of the sexual stereotype that's being exploited, but what's also at work here is a justification for men at the office to watch busty women having pillow fights and maybe get some wood. Quite frankly, in an age when porn is mainstream and a click away, we find the video a bit trite and at over 5 minutes, a bit tedious. It does have some marketing merit if your objective is to get men to watch something insanely boring - webinar instructions. But if you're going to get sexy in this day and age and push the envelope, why not sponsor a hardcore porn video? To align with the collaborative DimDim brand, it ought to be a group sex scene. Between sex position changes, the porn stars could explain the features of DimDim. French maids are so, like, yesterday. Is DimDim's promotion exploitive of women? Does it sexually objectify them? ...To each her own opinion. At a minimum, we find it corny. And it's condescending to anyone who actually wants to learn about making money in online events. Others find this type of boob marketing, "effin' brilliant." We'd suggest that much more entertaining in the age of "reality" programming would be for DimDim CEO DD Ganguly (double D, too rich) and CMO Steve Chazin and the rest of the all-male management team at DimDim to join the french maids in the action. That's right, the DimDim management team should disrobe and join in the pillow fight in their underwear and straddle exercise balls with the women and educate us on the features of the DimDim webinar service. We can all be in on the joke of exploited stereotypes (french maids, reality stars) and DimDim management can certainly be said to be an equal opportunity marketer. The tool now rates at a 7.3 of 10. Main areas of improvement were the number of features, the simplified set-up of meetings, and security.

Although we found an overall improvement to omNovia there are still a few soft spots that pull the score down. The omNovia Event Manager e.g. allows you to set up meetings all right, however it is a bit formal and tedious when you want to informally invite your colleagues.

Cosmopolitan and international, they do things with flair and style - and success. They're anything but stodgy. Last night's ribbon-cutting event for their new Customer Experience Center in the airy, transparent design of Renzo Piano's New York Times Building is a case in point. Hanif Lanai, CEO of BT Global Services cut the ribbon to formally open their new "Customer Experience Center" (CEC) for US customers. We were too buzzed distracted in sucking down Heinekens and failed to get that on video, but we did manage to do quickie interviews with BT Conferencing CEO Aaron McCormack and Polycom CEO Bob Hagerty, see above and below. Here at this new center, the telepresence technologies of Polycom, Cisco and Tandberg, along with the latest unified communications and collaboration (UCC) offerings from Microsoft, Polycom, Cisco, HP, can be seen. Quick impressions of this BT event: Best-in-Showcase: Polycom In BT's new CEC, Polycom has the most impressive room for its videoconferencing telepresence system. The room is beautifully designed for its purpose - a showcase - and in terms of "experience" it beats out the Cisco's and Tandberg's experiences in their respective telepresence showcase rooms. In terms of the actual mediated experience in videoconferencing with people at remote locations, we'd also give the winning edge to Polycom. While the sound could improve a bit, the Polycom telepresence visuals are spectacular. Cisco's backgrounds to the people your meeting with were a muddy brown-ish color, which is sort of a downer, particularly if you're already taking anti-depressants from spending countless hours stuck in the office because your boss says you can't travel anymore. Tandberg's backgrounds to the person we spoke with were sky blue. This was presented as a nice feature, but we kept expecting a jet, a cloud, a kite, or a parachuting Elliot Gold to appear behind the woman we chatted with at the other end. If you want to get natural and "immersive" you can't have people you're meeting with floating in the sky. However, all of these systems are impressive, and we'd encourage you to make an appointment to see them in action. Affable, smart and successful at BT Conferencing, he was also one of the first people to personally sign up for CN's Key People Directory and now he's even on Twitter. Avoiding Call Echo

  • A USB headset is recommended
  • Built-in or external speakers can cause echo. We recommend reducing the speaker volume to a low level.

  • Laptops with built-in microphones: Built-in microphones can pick up noise and cause echo. Using a built-in microphone for your audio is not recommended.
  • Echo from an attendee: If you suspect echo from an attendee, check who is talking at the bottom of the Audio pane and mute that attendee or ask the attendee to lower his or her speaker volume.
  • Reduce background noise

 

Avoiding Background Noise

  • A meeting is best presented from a quiet location.
  • If using a microphone, move the microphone closer to your voice and away from competing sounds (i.e., computer fans).
  • Avoid moving or touching the microphone during your meeting.
  • A good quality headset is recommended. Webcams and built-in microphones can pick up noise and are not recommended.

 

Dropped Words, Delay, Robotic Sound

Dropped words, delay or robotic sound is often due to poor network performance, lack of memory or high CPU usage.

  • Close all applications you are not using for your presentation.

A dial-up Internet connection can cause poor performance. For optimum performance when using VoIP, we recommend a broadband Internet connection.

We did a few meetings with it and it really worked well for us but we really didn't do many meetings at all that would justify it. Cut to three years later and we were looking for a solution to our post-implementation troubleshooting. It became necessary to do an email and phone dance with the implementation team, the sales team, the client and the developers. This would take weeks of emails and phone calls. All of a sudden I was like, why don't we just use that GoToMeeting software. We know it workls because we tried the free trial successfully and this way we can get everyone together at the same time and do in days what used to take weeks. We did and it worked. What a great tool.
